Configure workflow step properties

You can configure individual workflow steps to be required, control their visibility, enable auto-completion, and assign them to specific roles within your organization.

Note: Empty step groups are not displayed for configuration.
- Click Workflows in the sidebar.
- Click Edit next to the workflow you want to modify.
- Ensure the Workflow tab is selected to view step configurations.
- To make a workflow step mandatory, toggle the Required switch. Note that required steps cannot be skipped when they are in a 'Waiting' state.
- To enable automatic completion for the step, toggle the Auto complete switch.
- To control which roles can view the step, adjust the Visibility checkboxes for Client and Installer. The Operator visibility is always enabled and cannot be changed. Notification warnings for workflow steps are now specifically scoped to public actors (Clients and Installers) based on these visibility settings.
- To assign the step to a specific role, select an option from the Assignee radio buttons: Operator, Client, or Installer.
Configure AI validation prompts for custom fields
For custom fields within a workflow step, you can configure AI validation prompts to ensure data quality and consistency. This feature allows you to define specific instructions for the AI to validate the input provided for a custom field.
- Navigate to the custom field you wish to configure.
- Locate the AI Validation Prompt section.
- Enter a clear and concise prompt that guides the AI on how to validate the field's input. For example, "Ensure the entered phone number is a valid Norwegian mobile number starting with 4 or 9 and is 8 digits long."
- Save your changes.
Additionally, the progress of individual workflow steps, showing answered and total required questions, is now visible on the job timeline.
