Use the scheduler

The scheduler is where you give an order a date. It shows one row per installer across four weeks, the orders still waiting for a time, and the driving each option costs.

Open the scheduler

  1. Click Calendar in the sidebar.

  2. Click Open scheduler. When orders are waiting, a warning next to the button counts them.

You can also open it from an order: on the Schedule booking step, click Use the scheduler.

Read the board

Rows are people, columns are days. Days are split into 30-minute cells.

  • Unassigned holds bookings with nobody on them. On site installers holds one row per installer.

  • An installer whose working days are all cleared is hidden from the board.

  • Days nobody works are left out. A weekend day with no bookings collapses to a narrow strip; click it to open it.

  • Use Today and the arrows to move. The arrows jump four weeks at a time. The month you are looking at is named beside them.

  • The nav bar shows your working hours and timezone. Click either to open Booking scheduling settings.

  • Zoom in and out to fit more or fewer days on screen.

  • The board covers your working hours, plus up to an hour either side. A booking outside those hours widens its own day.

Rest the pointer on a booking or an order card for a moment and it becomes the reference point: every other card and installer row then shows the driving time to it. A grey badge with a cross means the two are Too far away to route.

Work through the To schedule list

The left pane, To schedule, lists the orders whose Schedule booking step is active and assigned to your organization. Oldest first. Use the sort control to switch between Oldest and Postal code.

Each card carries the order name and number, the duration, the address, the days the customer asked for in green, the days they ruled out in red, and any comment they left. See Set your booking availability for where those days come from.

A card marked Coordinate missing has an address the map cannot place. Open its suggestions and click Edit address to fix it.

When the list is empty it reads No orders to schedule.

Let the scheduler propose a slot

  1. Hover an order card and click the Suggestions button.

  2. The scheduler tries the job in every gap of every installer’s day, routes it by road, and respects working hours and days off. It searches six weeks; click Load 2 more weeks to reach eight.

  3. Each row is a real slot, badged with the extra driving it costs, for example +5m. Top picks are the shortest detours anywhere in the searched weeks. Days the customer asked for are marked Preferred.

  4. Use the detour filter to hide slots that cost more driving than you will accept.

  5. Click a row to preview it: the map draws that installer’s day route and the board spotlights the proposed block.

  6. Click Confirm to open the Schedule order dialog, then Create.

The help button in the suggestions header opens How suggestions work, which explains the detour with a worked example.

Schedule an order by hand

  1. Drag an order card onto a cell in an installer’s row. You can also click the card first, then click the cell.

  2. The Schedule order dialog opens with the order’s address, contact and duration. Set Type, the start and end or a duration, or mark it All day.

  3. Under On site installers, pick one or more people.

  4. Click Create.

Scheduling completes the order’s Schedule booking step, which moves the workflow on. Slots in the past are refused with Cannot schedule in the past.

Edit or reschedule a booking

Click a booking on the board to open it. The dialog is titled with the order name and number.

  • Change the time, the duration or the people on it, then click Save.

  • To hand the order back for a new date, click Reschedule, pick a reason and add a comment. The booking step is cancelled and the order returns to To schedule.

  • Only orders that are In Progress can be rescheduled.

Bookings do not move by dragging on the board. Use the dialog.

Block out time that is not an order

Click + in the nav bar, or click an empty cell with no order selected. The Create event dialog opens on an all-day event. Pick Vacation, Sick leave, Training, Personal or Other, add a description, choose who it applies to, and click Create. Open the event again to change it, or click Delete to remove it.

Show the map

Click Show map in the nav bar to pin the map beside the board. It plots every installer’s home, your HQ, and a pin on whichever job you are pointing at. With a suggestion selected it draws that installer’s day route with the driving time on each leg. Click an avatar to open that person’s settings.
