Configure Choice workflow steps

A Choice step branches a workflow. The person working the step picks one option, and the steps behind that option are added to the order right after the choice step.

The options are not typed into the step. Each option is a step group from one of your workflows.

Make a step group insertable

Every time you add a step from the Add step dialog, the editor creates a group named after what you added. A group only becomes an option on a choice step once you mark it insertable.

  1. Open the workflow in the editor.
  2. Click Insertable steps at the bottom of the steps list. The counter shows how many of your groups are insertable.
  3. Set the group’s Name. This is the option title.
  4. Set the group’s Description. This is the text under the title on the option card, up to 100 characters.
  5. Turn on Insertable.
  6. Use Add step… to move an ungrouped step into the group, Add steps from group… to merge another group into it, and Remove from group to take a step out.
  7. Under Allowed insertable step groups, select groups from other workflows that actors can insert in this workflow.
  8. Save and publish the workflow. Only groups whose workflow is published are offered.

Add the choice step

  1. Click Add at the bottom of the steps list.
  2. Select Select upcoming steps. Its step type is Choice.
  3. To ask for information before the branch is picked, add questions to the step with Add question. The questions render above the options and must be answered before the step submits, whichever option is selected.

For the rest of the step settings, see Configure workflow step settings.

Configure the choice step

Select the step in the editor. Below the questions you get three settings. They only appear if your organization has at least one insertable step group.

  • Repeat choice step: a new choice step is added after the inserted group, so the person can make another selection. On by default.
  • Add a choice to skip: adds an option that inserts no steps and moves on to the next step. It starts out named “Move on”; the name is required. Use the ellipsis button on the option to edit its title and description. This option replaces the generic Skip action on the step.
  • Allowed groups: select which groups are available in this choice step. If you select none, all insertable groups are shown.

What the assignee sees

  1. Each option is a card with the group’s name, its description, and an icon taken from the first step in the group.
  2. The ellipsis button on a card opens View steps, which lists every step in the group with the actor responsible for it. Clients do not get this button.
  3. Select one option and click Submit.
  4. The group’s steps are added right after the choice step, and the first of them opens.

If no group is available, the step shows “No options available”.
