Manage workflow settings

The Settings tab holds everything that applies to a whole workflow rather than to one step: its name, its defaults, its actors, and the fields, chats, offers, documents and portal text it uses.

Open workflow settings

  1. Click Workflows in the sidebar.
  2. Click the workflow you want to change.
  3. Click Settings in the tab bar at the top.

The settings pages are listed on the left: General, Document generator, Fields, Chats, Offers, Actors and Customer portal.

What each page sets

Page What it sets
General Name, custom ID, default assignee, and whether this is the default workflow for new orders.
Document generator Templates that generate documents on a step, filled with variables and custom fields from the order.
Fields The custom fields the workflow collects.
Chats Chat configurations: the participants, the chat name, and when the chat starts.
Offers The default offer for the workflow. You can still override the offer using the API or a webform.
Actors The actors in the workflow, their type, and what a dispatched actor must match.
Customer portal The welcome description clients see in the customer portal.

Notifications and background events are not in Settings. They have their own Notifications tab.

General

  • Name: the workflow name.
  • Custom ID: an ID used for easier reference in APIs and data exports.
  • Default for new orders: when enabled, this workflow is used for all new orders without a specific workflow.
  • Default assignee: the user assigned to orders created with this workflow.
  • Send rating after step: choose which step’s completion sends the rating request to the client. Leave it on Default — when order is completed to send it at the end. This setting appears only when Enable client feedback is on in your organisation settings.

Actors

Each actor is a party in the workflow. Steps, chats and notifications point at actors, so name them for the role they play.

  1. Click Add actor to add one.
  2. Click the settings icon on an actor to set its Name and Type.
  3. For a dispatched actor, set the Professions, Installation types and Tags a contractor must match.

You cannot delete an actor that a step, a chat or a notification still uses. The page lists what is blocking the deletion.

Save and publish

Settings are part of the draft, so click Save in the header to keep them.

A published version is read-only. It shows the banner “You are viewing the published version. To make changes, go to the draft.” Click Start editing to create a draft, or Go to draft if one already exists. Click Publish to make the draft the live version.
