Complete workflow steps automatically

A step can complete itself the first time it becomes active, so the order moves on without anyone opening it. You set this on the workflow with the Auto complete switch, and the assignee of a single step can also mark that step ready before its turn.

Turn on Auto complete for a step

  1. Select Workflows in the sidebar.
  2. Open the workflow you want to change. A published workflow is read-only: select Start editing to create a draft, or Go to draft if a draft already exists.
  3. Select the Workflow tab.
  4. Select the step in the timeline. The Step settings panel opens.
  5. Turn on Auto complete.
  6. Select Save, then Publish to make the draft live.

What Auto complete does

  • The step completes the first time it becomes active, which is when the step before it and any step it depends on are done. The workflow continues to the next step.
  • The step’s data still has to be valid. If a required question is unanswered, or the step’s booking or offer is incomplete, the step does not auto-complete and waits for its assignee.
  • A Pay offer step never auto-completes. A Payout offer step auto-completes only once the order is paid.
  • Confirmation steps are accepted or rejected, not completed, so Auto complete has no effect on Confirm offer, Confirm booking or Order response.

Mark one step ready before its turn

On an order, the assignee of a step that has not started yet can fill it in and select Submit. The step is marked to complete automatically rather than completing straight away.

  • In the timeline the step shows a green icon and the stamp Completes automatically.
  • The step’s main button becomes Edit. Select it to undo the marking and change your answers.
  • The step completes on its own once it becomes active.
