Create a new webform
A webform captures order details through a form. Every submission creates an order for one workflow, assigned to the user you pick as the default assignee. You can share the form publicly, share it with a partner, or fill it in yourself.
Create the webform
The workflow has to have a published version before you can create a form for it.
- Select Workflows in the sidebar.
- Open the workflow you want the form to create orders for.
- Select the Webforms tab.
- Select Create new form. If the button is disabled, the workflow has no published version yet and you see Publish this workflow before you create a form for it.
- Enter a name in Header. This name is shown at the top of the form.
- Select a user under Default assignee. Orders created through this form are assigned to them. The field is required.
- Select Submit.
The form is created and the editor opens. Settings are on the left, Preview on the right, and the preview updates as you change a setting.
Add questions
Every webform asks for Name, the installation address, Email and Phone. Your questions come after those.
- Select Add content below the last question in the preview. To insert a question between two existing ones, hover over the gap and select the add button that appears there.
- Type the question in the search box. Existing questions matching what you type are listed, so you can reuse one instead of creating a new one.
- Pick an answer type in the left column, then select Next.
- Choose whether to connect the answer to a field, then select Add question.
- Drag a question by its handle to move it in the form.
- Select Save.
Write the answer into the order
Under Structured fields in the same dialog, pick what the answer updates on the order itself instead of a reusable field: Customer name, Customer email, Customer phone number, Installation address, Customer legal ID, Order title, Order reference or Property. Answers to these questions update the order directly.
Property is only offered in markets that have a property reference.
Add an image to a question
Hover over the question and select Edit to open Question settings, then upload the file under Placeholder file. For Single select, Multi-select and Dropdown questions you can also add an image to each entry under Alternatives.
Validate a meter number
Validation belongs to the field, not the form. When you create the field for a question, set Validation to MPAN. The answer is then checked as a 13-digit MPAN or an 11-digit MPRN.

Share the webform
- Turn on Sharable in the form’s settings and select Save.
- Go back to the Webforms tab.
- Open the actions menu on the form’s row and select Share.
- Select Copy to copy the URL, or use the QR code shown in the same dialog.
The public URL contains a token for the form, not its name. Without Sharable the Share action is not in the menu.
To let a partner submit orders through the form instead, see Set up a webform partnership.
